Course Administration

1. Applications

1.1. Enrollment and Priority
Places are allocated on a first-come, first-served basis, with priority given to students who are re-enrolling in a class.

1.2. Changes to Applications
Should you wish to make any changes after the application is processed, you are asked to inform the office in writing. Please see below for our policies on withdrawals.

1.3. Class Schedule and Notifications
Please check the time, date, and venue carefully and make note of any statutory holidays as outlined on the schedule. No further reminders will be made, but you will always be notified of any changes in the class schedule or location.

1.4. Equipment Orders
No refund or credit will be issued on equipment orders for any reason, including late delivery.

1.5. Equipment Exchange
New, unused, and faulty equipment can be exchanged within 30 days of receiving your order.

1.6. Non-Payment of Fees
We have the right to exclude children from classes for the non-payment of fees.

2. Withdrawals, Absences, Changes & Cancellations

2.1. Withdrawals Before Course

Commencement Students who successfully enroll in a course and withdraw from it before the course commences will receive a credit voucher for the course fee, less a $200 processing fee. The request for cancellation must be made in writing by email.

2.2. Withdrawals After Course Commencement

No refund or credit will be provided for students withdrawing after a course commences.

2.3. Refund Policy for Extended Sickness

There are no refunds. Students can apply for a credit for an extended period of sickness of a minimum of three weeks, supported by a doctor’s note. Requests and documentation should be submitted within seven (7) days of the absence. Each case of extended sickness will be considered individually. Our decision is final.

2.4. Changes to Course Times, Venues, and Dates

We reserve the right to change course times, venues, and dates at our discretion. Parents will be notified of any changes in advance whenever possible.

2.5. Course Cancellation Due to Insufficient Enrollment

We reserve the right to cancel courses due to insufficient enrollment. Every effort will be made to place students in a similar course. If none is available, a refund will be issued.

2.6. Class Cancellation Due to Teacher or Coach Absence

If we cancel a class due to teacher or coach absence, a credit will be issued, unless otherwise requested in writing.

2.7. Notification of Schedule Changes

Where there are changes to our schedule, we will notify the parent/guardian by WhatsApp, email . 

​

2.8. Unanticipated Site Conflicts

In case of unanticipated site conflicts, a suitable replacement venue will be offered. No refunds will be made in such instances.

2.9. Program Closure Due to Unforeseen Circumstances

In the event of school closure due to unforeseen circumstances, classes will be canceled and no make-up, refund, or credit will be issued. 

3. Parent and Guardian Responsibilities

3.1. Supervision Before Classes

All students must be under adult supervision while waiting for classes to begin. For all sports programs, we recommend parents and guardians of children under the age of 8 to remain on site for the duration of the class.

3.2. Waiting During Language Programs

For our language programs, parents and guardians are asked to wait outside the venue while the class is in progress. Teachers have the right to ask any person to leave the premises.

3.3. Timely Pickup

Lessons will finish on time. Please ensure you pick up your child promptly at the end of the lesson.

4. Safety

4.1. Compliance with Facility Regulations

Participants are expected to abide by the regulations of the facility. This will be strictly enforced, and we reserve the right to ask anyone who does not abide by the rules or behaves unreasonably to leave immediately.

4.2. Liability

Play to Think Smart – Educational Services, our coaches, and our teachers are not responsible for any injury to participants or damages or loss of property as a result of participation in our courses.

 

4.3. Medical Emergencies

In case of a medical emergency, your child will be transferred to the nearest government hospital using the Hong Kong Government Emergency Medical Unit.

5. Information Policy

5.1. Purpose of Information Collection

Information provided by you on your application form will be used for the purposes of:

  • 5.1.1. Processing your application for admission.

  • 5.1.2. Administration after admission.

​

5.2. Confidentiality and Access to Information

The data we collect will be kept confidential. You have the right to obtain access to and request correction of any information concerning you and your child held by us. Requests for such access should be made in writing.

​

5.3. Policy Amendments

We reserve the right to amend our policies from time to time.
